Cancellation Policy and Process

We understand plans can change. Our cancellation policy is designed to be clear and straightforward. Below, you’ll find the terms under which cancellations are accepted, and the steps to initiate the process. We aim to make this as smooth as possible for you.

Payment Policy

  • All payments are processed through Paypal, Stripe, Square or any other platform using secure encryption.
  • We accept all major debit/credit cards.
  • A one-night deposit is charged per room per booking, with the full balance due 30 days before check-in.
  • All charges will appear as ” C-Travels ” or “ctravels”  on your statement.
  • Multiple bookings will result in multiple transactions.

Cancellation & Refund Policy

  • 31+ days before check-in: Full refund or guest may request a credit.
  • 30 to 0 days before check-in: Deposit is non-refundable.
  • If balance is paid within the 30-day window: A 30% cancellation fee applies.
  • No-show or early checkout: Subject to full charge per hotel policy.

Refunds may take 7–14 business days to process and up to 30 days to appear on your statement.

Fulfillment

  • Bookings are confirmed via email/SMS within 48 hours.
  • Some hotels may require refundable deposits or additional local/resort taxes at check-in.

Group Booking Policy

Effective Date: April 2025

Applies to reservations of six (6) or more rooms made under a single booking or coordinated group name.

Definition of Group Booking

A “Group Booking” refers to any reservation involving five (5) or more rooms for the same stay period and/or made under a single group, event, or organization name.

Deposit & Payment Terms

  • A 30% non-refundable deposit is required at the time of booking to secure the room block.
  • The remaining balance must be paid in full no later than 30 calendar days before check-in.
  • Payment must be made via Stripe or another approved processor. Each transaction may appear as “C-Travels” or “ctravels”.

Changes & Modifications

  • Group name changes, guest assignments, and booking edits are allowed up to 14 days before check-in at no additional charge.
  • Any changes requested within 14 days of arrival are subject to availability and may incur modification fees, depending on hotel or organizer policies.

Cancellations & Refunds

  • More than 30 days before check-in: Deposit is retained; the balance (if paid) is refundable or may be credited for future use.
  • 30 to 0 days before check-in: A 50% cancellation fee applies.
  • No-shows or same-day cancellations: Non-refundable.
  • Partial group cancellations: Subject to the same terms.

Force Majeure

In the event of unforeseeable and unavoidable circumstances (e.g., natural disasters, war, government restrictions, pandemics), C-Travels will coordinate with the hotel or organizer to provide credit, rebooking, or partial refunds based on partner policies.

You can cancel your reservation for a full refund up to 30 days before your scheduled check-in. Please ensure to review your booking details for specifics regarding your reservation.

Refunds are generally processed within 5-7 business days after we receive your request and the cancellation has been confirmed. The funds will be returned to your original payment method.

There are no cancellation fees if you cancel within our specified timeframe. Be sure to check your confirmation for any unique conditions (unique conditions applies to group booking only and usually it’s 25% cancelation fees from the total invoice).
